Privacy Policy

Effective date: [DATE]

This Privacy Policy explains how [LLC NAME] LLC, doing business as TownCheck AI ("TownCheck," "we," "us"), collects, uses, and shares information when you use towncheckai.com (the "Service"). We've written it to be actually readable.

1. Information We Collect

Information you give us:

  • Account info: name, email address, password (stored hashed — we never see it in plain text).
  • Business profile info: your business name, category/trade, location(s), and any competitor names you choose to track.
  • Payment info: processed entirely by Stripe. We receive confirmation of payment, your plan, and the last four digits of your card — never your full card number.
  • Communications: anything you send us at our support address.

Information collected automatically:

  • Usage data: pages viewed, features used, approximate location from IP address, browser and device type — collected via server logs and privacy-respecting analytics.
  • Cookies: we use essential cookies to keep you signed in and to run checkout. We do not use advertising cookies or cross-site trackers. If that ever changes, we'll update this policy and ask for consent where required.

Information about businesses (including businesses that aren't our customers): The Service works by submitting consumer-style questions about business categories and locations to third-party AI assistants and analyzing their responses. Those responses may include names of, and statements about, businesses — yours and others'. This information consists of publicly oriented business information generated by third-party AI systems; we store it to produce reports and trends. It is not consumer personal information, and we don't use it for any purpose other than providing the Service.

2. How We Use Information

We use information to: provide and improve the Service (run your checks, generate reports, show trends); process payments; send service emails (receipts, report delivery, your weekly scorecard — these are part of the product); send occasional product updates or marketing only where permitted, and always with a working unsubscribe link in every message, per CAN-SPAM; respond to support requests; prevent fraud and abuse; and comply with legal obligations. We do not sell your personal information, and we do not share it with third parties for their own advertising.

3. Who We Share Information With

We share information only with the service providers that make the product run, under agreements limiting their use of it:

  • Stripe — payment processing and sales tax calculation
  • Supabase — database and authentication hosting
  • Vercel — application hosting
  • Resend — transactional and scorecard email delivery
  • AI providers (OpenAI, Anthropic, Google, Perplexity) — we send them the check questions, which include business names, categories, and locations (yours and tracked competitors'). We do not send them your email, account, or payment information.

We may also disclose information if required by law, to protect our rights or users' safety, or as part of a business transaction such as a merger or sale of the Service — in which case this policy would continue to apply to previously collected information and we'd notify you of any successor.

4. Data Retention

Account and profile data are kept while your account is active. Monitoring data (check results, scores, trends) is kept while your subscription is active because week-over-week history is the product; if you cancel or delete your account, we may delete your monitoring history after a reasonable period (typically 90 days), and it cannot be reconstructed afterward. We retain payment records as required by tax and accounting law. You can request deletion sooner — see Section 6.

5. Security

We use industry-standard measures: encryption in transit (HTTPS), encrypted storage with our hosting providers, hashed passwords, and access limited to what operating the Service requires. No system is perfectly secure; if a breach affects your personal information, we'll notify you as required by law.

6. Your Rights and Choices

  • Access, correction, deletion: email [SUPPORT EMAIL] and we'll provide, correct, or delete the personal information we hold about you, subject to legal retention requirements.
  • Marketing opt-out: every non-essential email includes an unsubscribe link. Service emails (receipts, report delivery, active-subscription scorecards) are part of the product; the way to stop scorecards is to pause or cancel monitoring.
  • Cookies: essential cookies can be blocked in your browser, but sign-in and checkout won't work without them.
  • State privacy rights: depending on where you live (e.g., California, Colorado, Virginia, and other states with privacy laws), you may have additional rights to know, delete, correct, or opt out of certain processing. We honor these requests regardless of state — email us. We do not sell personal information or use it for targeted advertising as those terms are defined in these laws.

7. Business Representatives

If you're a representative of a business named in a report and have questions about how the Service works, contact [SUPPORT EMAIL]. Note that report contents reflect outputs of third-party AI systems, not statements by TownCheck (see our Terms of Service, Section 2).

8. Children

The Service is for business use and is not directed to anyone under 18. We don't knowingly collect personal information from minors; if you believe we have, contact us and we'll delete it.

9. International Users

The Service is operated from the United States and information is processed in the United States. If you use the Service from elsewhere, you consent to that processing.

10. Changes to This Policy

We'll post any changes here with a new effective date, and for material changes we'll notify account holders by email.
